Why We Switched to Office 365 (and Why You Should Too)

I'm excited to announce that our firm has recently completed an email migration of our corporate email away from an on-premise Exchange Server to Microsoft's Office 365 platform.

I wanted to take a minute and share with you what led us to make this decision to migrate, and explain why you should also consider Microsoft's cloud services (should you belong to an organization that is leveraging an on-premise Exchange server). 

1.) Server Maintenance and Patching - Our team has a lot on our plate managing the networks of our customers networks, servers, and phone systems.  As you can imagine, supporting our own servers prevents us from turning our attention to more pressing Client matters. The move to the cloud does take some pressure off our team.  The time involved in maintaining the server, patching it, ensuring hourly backups are working, amounted to quite a bit of time.

Honestly, its a weird feeling not having to worry anymore about our Exchange server going down and preventing us from communicating with our clients. 

Our servers were also nearing their end-of-life and a server refresh project including expenses for hardware, server operating system software, and Exchange software would have been several tens of thousands of dollars.  The staff time required to purchase the servers, build them out, and migrate to them also added to the expense.  

2.) Reliability and Redundancy - Since our email is now in the cloud and replicated within Microsoft's North America data centers, it is now easier to work from mobiles, tablets, and laptops on the go.  When the next snowstorm or hurricane rolls through our area, we don't have to worry about employees working from home and potentially having trouble accessing their email due to network outages in our area.  

3.) Predictable Costs - Office 365 is a "you pay for what you consume" model.  Migrating to this cloud services platform gives us the flexibility to scale up or down with a predictable cost structure.  For us, it's a more flexible arrangement as compared to a large capital outlay every few years.  When our team grows, we pay for the additional subscription and storage that we need.  We won't have the headache of running out of server space and having to buy a new hard drive ever again. 

4.) Eliminate End-of-Support and Unwelcomed Upgrade Concerns FOR GOOD - We are all too familiar with Microsoft's subtle "nudges" to migrate to the new version of this or that whether it be migrating to Windows 10 or the latest version of Office. They simply invest more in the newer products so that newer features and security updates hit the newer products first. 

I'll give you a short concrete example of what I mean. 

Outlook 2007 has reached its official end-of-life/end-of-support, meaning that if you are still on that version, you will need to upgrade. If you’re using Outlook 2007, you need to consider upgrading to a newer version so you don’t have to worry about the reduced functionality or degraded user experience that typically occurs as older software reaches end-of-life status.

An Office 365 subscription that includes the familiar Office suite eliminates end-of-support concerns and un-welcomed upgrade requirements FOR GOOD.

Microsoft fixes issues and adds functionality continually and seamlessly in Office 365, making your Office applications more valuable, secure and easy-to-use every day.
